Accounting - Pricebook Specialist

SUMMARY

The Pricebook Specialist is responsible for accurate set up and data entry of product information (including upc information and unit of measure received and sold) and pricing information (including cost and retail prices), posting price changes prior to the effective date, and communicating price change notices to all company operated and designated dealer stores.  Also responsible for providing accurate and timely rebate data to appropriate vendors and company personnel.

 

RESPONSIBILITIES BY COMPETENCY:  (*denotes an essential function of the position)

 

Business Results Orientation

*Ensure cost data in the price book system is accurate based on cost sheets provided by vendors and information obtained from merchandising personnel

*Identify and report product margin loss and invoice cost exceptions to merchandising personnel

*Ensure retails, promotions, and rebates received from merchandising department are updated within established timeline

*Maintain an efficient method of gathering data needed to complete reimbursement claims for rebates offered by vendors and file them in a timely manner 

*Complete account reconciliations timely and ensure timely communication and resolution of unpaid items

*Maintain the accuracy of pricebook and rebate manager data

*Maintain a follow up system to insure all payments due are collected in a timely manner

*Maintain regular attendance and follow designated safety practices

*Support and actively work to meet the goals set the Accounting & Finance Balanced Score Card

*Perform other duties not listed as required

 

Communication

*Participate in preparation and dissemination of appropriate promotional information to the stores (via Promotional Redbook and other communication vehicles) to keep the stores informed of appropriate cost and retail information, promotional items and pricebook changes

*Coordinate updates of item information with merchandising department in an efficient manner

*Communicate in a professional and effective manger with internal and external customers

*Utilize the most appropriate and effective method of communication for stores, merchandising personnel, operations personnel and other Cuba Support Center personnel as needed

Customer Service Orientation

*Respond to all requests from company personnel in a timely and accurate manner

*Assist Merchandising personnel in meeting the merchandising needs for the field

*Ensure item information is accurate and up to date minimizing exceptions at store level

*Strive continually to proactively meet the customer needs by gaining a better understanding of the customer

*Work closely with internal auditing team to communicate and correct product receiving errors

 

Developing Talent

*Provide guidance and refresher training to store managers and Merchandising personnel so they learn how to manage product information effectively 

*Understand the functions of the other members of the Retail Accounting Department to sufficiently answer or seek out answers when necessary and support their functions

*Provide experience, skills and expertise as needed to coworkers

*Cross-train co-workers in providing store support and adjusting cost and retail data in the price book

*Complete safety training as required

 

Technical Expertise

*Develop and maintain knowledge of store operating systems and be able to assist store personnel and provide guidance as needed

*Collect cost data from vendors and input data into price book system

*Collect retail price information from merchandising personnel and input data into price book system.  If not provided by *Merchandising, make informed decision based on similar data in price book and adjust cost or retail as necessary

*Processes for collecting  rebate promotional data from merchandising and maintain rebate system

*Complete processes and procedures for adjusting costs, retails, and add or delete items as directed to meet competition, maintain margins, reflect promotions, or increase profits

*Coordinate with the IT department to establish procedures for troubleshooting software and hardware issues with the vendors and store personnel

*Create and/or maintain spreadsheets that will allow for more effective reporting to other company personnel

*Develop and maintain proficiency in several different software programs

*Adhere to all Wallis Companies’ safety policies and report all safety incidents to supervisor immediately

QUALIFICATIONS

Education:                              *Required:  Equivalent to high school

Preferred: Additional training in Retail Sales, Accounting or related field

 

Experience:                            Over 1 year up to and including 3 years experience in retail sales, accounting or related field

 

Language Skills:                    *Ability to read, write, speak, and understand English in a professional manner that is

sufficient for effective communication with groups of managers, clients, customers and the general public 

 

Skills and Abilities:                (May be representative but not all-inclusive of those commonly associated with the position)

                                                 *Skill performing routine duties involving use of various procedures and applications to clearly prescribed standard practices which require the making of minor decisions and use of some judgment as to the method of performance. Ability to multi-task and adapt daily schedule to complete tasks with little to no notice and/or short deadlines.
