Lubes - Purchasing Assistant

SUMMARY

The Purchasing Assistant is responsible for assisting the Supply Chain Manager by providing clerical, analysis, and data entry support in addition to inventory management.

 

RESPONSIBILITIES BY COMPETENCY:

Business Results Orientation

 

● Run reorder reports daily to evaluate product ordering needs

● Enter Purchase Orders into MAS and Vendor’s Systems

● Utilize the operating system to maximize inventory management

● Ensure proper safety procedures are being practiced

● Maintain regular attendance and follow designated safety practices

● Perform other duties not listed as required

 

Communication

 

● Assist in communicating and driving strategies from the Balance Score Card

● Act as secondary contact for sales and customer support regarding inventory and costs

● Act as secondary contact for vendor relations as needed

● Keep supervisor informed of opportunities and progress toward process improvements

● Communicate product updates and outages to sales and customer service

 

Customer Service Orientation

 

● Maintain correct stock levels to ensure customer’s service levels are achieved

● Schedule and prioritize purchases and inbound freight based on demand

● Ensure products are meeting quality standards

● Handle all internal and external customer phone calls in a professional and respectful manner

 

Developing Talent

 

● Complete Safety training as required

● Attend training to further professional development and understanding of company goals and strategy

 

Technical Expertise

 

● Utilize Excel at a proficient level

● Analyze and track performance goals to maximize resources

● Adhere to all Wallis Companies safety policies and report all safety incidents to supervisor immediately

● Maintain knowledge of and benchmarks of industry data

Education: High school diploma or equivalent; Associate’s or Bachelor’s degree preferred

 

Experience: 3+ years of experience in a warehouse/inventory role

 

Language Skills: Ability to read, write, speak, and understand English in a manner

that is sufficient for effective communication with groups of managers, clients, customers and the general public

 

Skills and Abilities:

● Considerable independent analysis and judgment to effectively balance a number of constantly changing variables in regular and unusual circumstances and to determine appropriate actions to be taken

● Thorough knowledge of inventory management and ability to use Excel

● Must be proficient with a computer and Microsoft Office

● Excellent communication skills and judgment; detail oriented; ability to work well with others and under pressure

● Ability to collaborate effectively with internal stakeholders and external suppliers

● Flexible availability for work
